How to use the HR Hub hiring pipeline from job posting to hire

The hiring pipeline is the heart of HR Hub. It takes an applicant from their first contact with your organization all the way to their first day on the job.

Creating a Job Posting

Navigate to HR → Job Postings and click New Job Posting. Fill in:

  • Position title and department
  • Employment type (full-time, part-time, per diem)
  • Pay range (hourly or salary)
  • Description — use the AI draft tool to generate a DSP-specific posting from your requirements

Set the posting to Active to make it visible to applicants via your public application link.

Receiving Applications

Each job posting has a unique public URL you can share on job boards or your website. Applicants fill out a structured form that captures contact information, work history, and initial screening questions.

Applications appear in your Applicants pipeline automatically.

AI Evaluation

Once an application is received, you can run an AI evaluation. HR Hub uses Claude AI to assess the candidate against:

  • NADSP competency areas (person-centered support, crisis response, professionalism)
  • Your job description requirements
  • Resume and document content

The evaluation produces a fit tier (Strong Fit, Potential Fit, Unlikely Fit) with detailed rationale and suggested interview questions.

Pipeline Stages

Move candidates through these stages using the Status Panel on each applicant record:

Transitioning to Employee

When you mark a candidate as Hired, HR Hub creates their employee record pre-filled with information from their application. You then complete the employee profile with start date, pay rate, department, manager, site assignment, and onboarding template.
